Approving a Production Sample: A Buyer’s Sign-Off Checklist
Approve a production sample by identifying exactly what it represents and which decisions are accepted. A general message saying looks good can leave material, fit or branding questions unresolved. Use a sign-off record that distinguishes approval, conditional acceptance and items requiring a revised sample or other agreed evidence.
In this guide
Confirm the sample identity first
- Style ID, sample date and revision.
- The specification and artwork versions being reviewed.
- Size, colour and proposed material identity.
- Any substitute trims, temporary components or omitted features.
- The approval purpose and items excluded from this review.
Review against a practical sign-off sheet
Use annotated photographs as supporting records, not a substitute for identifying the sample and requirement. If one size or colour is reviewed, state what that approval covers; do not silently extend it to all variants.
| Area | Record |
|---|---|
| Fit and measurements | Results against agreed measurement instructions |
| Construction | Closures, pockets, seams and finishing observations |
| Materials and trims | What matches and what remains provisional |
| Branding and labels | Proof references, placement and wording status |
| Packing | Reviewed details or separate approval required |
Close exceptions before release
List each open issue with its owner and agreed next action. If a change is accepted without another full sample, record precisely what evidence will confirm it. Ask whether a later material, artwork or construction revision invalidates any part of the previous approval.
Mistakes to avoid
- Approving a sample without its specification revision.
- Treating conditional comments as unrestricted production approval.
- Reusing an old sign-off after an unreviewed material change.
Prepare the next decision
Return a dated sign-off sheet identifying accepted items and exceptions. Keep the approved reference accessible to both parties and confirm the remaining release conditions in writing.
