How to Compare Manufacturing Quotations Beyond Unit Price

· FASA GROUP Buyer Guides · 2 min read

Compare manufacturing quotations by bringing them onto a common specification and commercial basis before ranking their unit prices. A cheaper figure may describe a different fabric, unit, sample scope or delivery responsibility. Build a comparison sheet that exposes those differences and shows which questions must be closed before an order decision.

In this guide

Normalize the product and quantity basis

When a supplier proposes a different material, keep it as a named alternative. Do not replace the original line with the alternative and present the two quotations as equivalent.

Comparison line What must agree or be explained
Style and revision The same design, material and component configuration
Unit Garments, pairs, sets or another clearly stated unit
Assortment Size, colour and style quantities behind the price
Branding and labels Artwork dimensions, methods and approved label requirements
Packing Individual packs, assortments and carton instructions

Compare the responsibilities around the product

Record sample development, testing/document requests, inspection scope, payment proposals and quotation validity as separate fields. For delivery, identify the named place and the version of any agreed trade rule. ICC explains that trade rules allocate defined obligations, costs and risk; they do not replace the full sales contract or settle every commercial issue.

Use unresolved differences as decision gates

  • Ask each supplier to state exclusions rather than leaving blank cells.
  • Separate requested delivery dates from confirmed schedules and dependencies.
  • Identify which evidence is needed before approving protective or technical claims.
  • Keep a record of clarifications and the quotation revision they amend.

Mistakes to avoid

  • Using an unconfirmed exchange, freight or duty estimate to present a precise landed cost.
  • Treating a delivery abbreviation as a complete agreement.
  • Comparing a concept proposal with an approved production configuration without explaining the difference.

Prepare the next decision

Request revised quotations against a common scope and retain the clarification trail. Choose the proposal whose product, responsibilities and approval requirements fit the programme, then confirm the terms in the appropriate order documents.
