How to Write a Complete Apparel or Gloves Manufacturing RFQ

· FASA GROUP Buyer Guides · 2 min read

A complete manufacturing RFQ lets the supplier price a defined project and state the assumptions it cannot yet confirm. For apparel and gloves, organize the request by style, configuration and order breakdown. A target budget can be useful context, but it cannot replace the specifications needed to explain what that budget is intended to cover.

In this guide

Build the RFQ around controlled product lines

Give each style a buyer reference and attach the current drawing, specification or catalogue reference. State what is included, which materials are requested and where proposals are welcome. For coordinated sets or paired goods, define the selling unit and component count so that quantity and pricing comparisons use the same basis.

  • Intended use, selling market and any claims requiring evidence.
  • Style, colour and size quantities, with units stated explicitly.
  • Measurements, fit reference and required sample stages.
  • Artwork files, logo dimensions, placement and label requirements.
  • Individual packs, carton assortment and destination details.

Ask suppliers to return a structured response

Response section What to request
Specification basis Priced materials and construction, including proposed alternatives
Commercial scope Price basis, exclusions, quotation validity and any development charges
Schedule Sample and production milestones with stated dependencies
Quality and evidence Review points, inspection scope and testing/document responsibilities
Open decisions Information or approvals needed before confirmation

Turn differences into clarification questions

Compare responses against one version of the RFQ. When a supplier prices another fabric or pack method, record that difference rather than treating the number as directly comparable. Keep requested delivery dates separate from confirmed commitments, and identify the chosen transport/delivery basis with its named location where relevant.

Mistakes to avoid

  • Combining several styles into one quantity and asking for a single unexplained price.
  • Leaving sample, testing, packing or freight costs implicit.
  • Treating a preferred date or quantity as a supplier commitment.

Prepare the next decision

Send the RFQ with an issue date and request a response against that revision. Close material and commercial assumptions before using the quotation to approve sampling or production.
