Custom Workwear RFQ: Information Needed for an Accurate Quotation
An accurate workwear quotation starts with a request that makes the quantity and specification assumptions visible. State what must be priced, what may be proposed and what is still undecided. This lets suppliers identify differences in scope instead of returning prices for garments that only look similar.

Build one line for each distinct style
Assign a style reference and describe the intended use. Attach a technical drawing, reference sample details or catalogue reference, then mark the changes required. For trousers, a pocket and reinforcement map is more useful than a sentence asking for a durable style. For jackets, identify lining, closures, cuffs and adjustments.
- Quantities by style, size and colour, with units clearly stated.
- Fabric composition and weight requests, or a request for reviewed options.
- Measurement sheet, fit reference and intended layering.
- Artwork files, finished logo dimensions and application positions.
- Labelling, individual packing and carton assortment instructions.
Separate firm requirements from alternatives
| RFQ field | How to make it usable |
|---|---|
| Mandatory detail | Mark features that cannot change without approval |
| Open material choice | Ask the supplier to identify its proposed specification |
| Testing requirement | Describe the intended claim, market and evidence needed |
| Delivery request | State destination and preferred timing without treating it as confirmed |
| Commercial response | Request exclusions, validity and assumptions alongside price |
Compare responses on the same basis
Return missing information to the supplier before negotiating a final figure. Ask whether sampling, artwork preparation, testing, packing or freight have been included. Record the named delivery basis separately from the garment specification. Do not convert an indicative answer into a purchase commitment while key components remain unspecified.
Mistakes to avoid
- Requesting one total quantity without a size or colour split.
- Using photographs without identifying required construction details.
- Treating requested timing or minimum quantities as confirmed supplier terms.
Prepare the next decision
Send the completed RFQ with a revision number and an explicit list of open questions. Keep the supplier's returned assumptions with the quotation for later sample review.
